Keep the conversation. Remove the identity.
Agent Clarity needs communication context — motivations, objections, hesitation, behaviour, and decision dynamics — not unnecessary identity records or compliance documents. The guidance below helps you get useful coaching without exposing information that should stay private.
Teaching vs. real situations
- Fictional teaching scenarios may use fictional names.
- Real Deal Audits, Clarity Audits, pasted conversations, uploaded emails or texts, coaching, and personalized roleplays should use generalized roles such as The Buyer, The Seller, The Buyers, The Sellers, The FSBO, The Prospect, The Recruit, The Agent, The Partner, Buyer 1 / Buyer 2, Seller 1 / Seller 2.
- Preserve the relationship dynamic — for example, "One seller is ready while the other is hesitant."
- Generalize property details to the minimum useful level — for example, "a home on Pine Street near Sault College" rather than an exact civic address, unless you are specifically drafting a real communication where the address is needed.
Remove unnecessary personal identifiers
Do not include:
- Names, personal phone numbers, personal emails, exact residential addresses
- Dates of birth, signatures, government ID numbers
- Driver's licence, passport, health card, SIN, copies of ID
- Private file numbers, usernames, passwords
Minimize financial information
General context such as "the buyer has financing approval" is fine. Do not include banking credentials, account numbers, full credit-card information, security codes, wire instructions, detailed credit reports, complete loan documents, or payment logins.
FINTRAC information is restricted
Do not paste FINTRAC forms, identity-verification records, copies of ID, beneficial-ownership records, banking information, source-of-funds documents, or suspicious-transaction report information.
Discuss the compliance conversation. Never submit the compliance record.
You review what you submit
Highly sensitive information should be removed before submission. Any future automated detection will not be perfect. You remain responsible for reviewing what you submit.
CRM-ready notes
CRM notes should focus on situation, readiness, motivation, friction, communication preference, next move, and follow-up timing — not unnecessary identity or sensitive records.
Limited exception: requested real communications
When you explicitly ask Agent Clarity to draft or revise a real email, text, letter, listing communication, showing confirmation, offer-related communication, market update, or similar client-facing message, the app may use the recipient name, property address, price, MLS number, dates, agent contact details, and ordinary property facts you intentionally supply because they are necessary to create a usable message.
This exception never includes FINTRAC records, banking details, identification numbers, passwords, access codes, lockbox codes, or other restricted information. Real details used to draft a specific message should not be reused in lessons, audits, roleplays, or general training.
Payment information
Complete payment credentials are not stored by Agent Clarity. Payments are handled by Stripe or the configured payment processor. Agent Clarity may retain account and subscription references such as plan, membership status, renewal status, and processor customer or subscription references.
The minimum-information rule
"Is this information necessary to understand the conversation or complete the user's request?" If not, remove it.
